Payroll Specialist

Allied Universal Security is looking for a Payroll Specialist to join our team! The Payroll Specialist will be responsible for accurate and timely reporting requirements to various entities related to Certified Payroll, Prevailing Wage, and Owner Controlled Insurance Programs (OCIP) and/or Contractor Controlled Insurance Programs (CCIP) programs. The Payroll Specialist will also assist other team members with the administration of the weekly payroll process as needed. The position will report to the Compensation Manager with limited supervision. They will have the flexibility to work on a hybrid basis (if local) or a completely remote basis (if elsewhere).

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Prepare, process, and submit Prevailing Wage Certified Payroll Reports in compliance with contracts as well as federal, state, and local tax laws and regulations
  • Update Certified Payroll Reports on official websites per the general contract for subcontractors
  • Review and interpret the financial terms and conditions and operational deliverables
  • Calculate and track prevailing wage rates and related payroll deductions; coordinate changes with human resources and payroll
  • As required, work with the Operation and Sales team to explain to clients the prevailing wage calculations and assist in resolving issues and concerns around the Controlled Insurance Program, Prevailing Wage Certified Payroll compliance
  • Partner with Human Resources team, operations teams, and accounting/finance team to ensure proper and accurate processing
  • Gather and review weekly timesheets, format output, and export into systems, portals, and forms as required
  • Analyze and reconcile payroll, internal system, and required reporting data; generate reports detailing all necessary information and any corrections or issues as required
  • Research, respond to, and resolve complex payroll questions, inquiries, and audit needs as required
  • Track, file, and maintain all documents and reports
  • Assists payroll department in processing payroll and union coordination for all company employees as needed
  • Analyze current payroll policies and procedures and recommend best practices for efficiency and accuracy
  • Other necessary and required duties as assigned

QUALIFICATIONS:

  • Minimum 2-3 years of payroll experience in preparing and reporting multi-state certified payroll / prevailing wages
  • Must possess a thorough knowledge of blended prevailing wage hours, as well as state to state prevailing wage laws
  • General knowledge of the various disciplines and procedures utilized by contract-based and project-based companies
  • Demonstrate strong attention to detail, organization, and accuracy
  • Ability to effectively prioritize multiple demands and deadlines and solve problems in a timely, courteous, and professional manner
  • Ability to take ownership of issues and seek solutions
  • Excellent reading comprehension to interpret requirements
  • Excellent oral and written communication skills
  • Ability to work well both independently and as part of local and remote teams (demonstrates strong relationship-building skills)
  • Knowledge of Microsoft Office and Outlook
  • Willingness to work overtime as needed
  • Ability to work and communicate successfully with remote teams
