Branch Coordinator – AUTS

Allied Universal is looking to hire a Branch Coordinator. The Branch Coordinator is responsible for all clerical aspects of the branch office. Contributing to the successful operations of the branch by providing sales, accounting and project support to the General Manager, Controller and local Sales/Operations staff. Demonstrate strong ability to manage multiple tasks in a fast-paced environment. The Branch Coordinator will work in accordance with the organization’s office policies and procedures, keeping in mind the overall core values of Allied Universal.

Job Responsibilities

  • Answer and route incoming calls; dispatch service calls and schedule technicians as directed by field and branch leadership (if applicable to branch).
  • Assist with pulling job permits in various municipalities
  • Assist with timely service and/or installation billing as directed by Controller, quotes, bids and proposals
  • Support Sales related activities such as submittals, bids and proposal creations
  • Order and maintain office supplies, business cards, PPE, company clothing inventory for branch personnel.
  • Assist HR with new hire paperwork, photo badging and meet w/new employee. Order apparel for employees, business cards, assist with company credit card and company phone.
  • Serve as support resource for move, add, and change (MAC) quotations and equipment only box sales (as needed).
  • Handle off-site errands; conduct site walks to produce required MAC quotations
  • Maintain shipping and receiving and assist with filing and data entry in ERP/CRM systems
  • Track, log and process subcontractor invoices and prepare invoices for payment
  • Process and distribute mail, incoming faxes and correspondence
  • Serve as resource for account setup of new RMR/HMS monitoring clients
  • Maintain proper phone etiquette while handling daily tasks
  • Serve as branch liaison with literature fulfillment vendor for the purposes of ordering and maintaining office literature
  • Complete other tasks and special projects, as assigned by field and branch leadership
  • Other duties as needed or assigned

Education & Experience

  • High school diploma or equivalent is required; associated degree is preferred
  • At least 2 years of related experience in an office environment is preferred
  • Ability to manage multiple projects, shifting priorities, and meet deadlines
  • Hold positive working relationships with employees, vendors, and customers
  • Must possess excellent written and verbal communication skills
  • Must be highly organized and detail-oriented
  • Excellent computer skills – Word, Excel, and PowerPoint experience preferred
  • Ability to use office equipment – fax, copier, scanner, etc.
  • Prior experience in a support role is preferred
  • Must have current valid Driver’s License
