Position onsite at our New York City Office.

Our canine group, under Allied Universal® Enhanced Protection Services, is hiring a Scheduling Administrative Assistant. The Scheduling Administrative Assistant will be the primary auditor of timesheets and exemptions for all field employees. The Scheduling Administrative Assistant will also act as liaison for all other departments relevant to the to the scheduling and operation functions.

RESPONSIBILITIES:

  • Audit all timesheets daily
  • Compare all time sheets to scheduling data to identify and resolve discrepancies
  • Confirm the proper billing information is sent out to the client, taking into consideration schedules, time sheets, and overtime
  • Consistent correspondence with employees to ensure quality and accuracy of the time sheet information provided
  • Assist with ad hoc assignments as needed
  • Maintain contact with field employees to ensure timely arrival, answering of post questions, and any additional information
  • Track emails and make scheduling changes as they are received
  • Maintain employee vacation schedules with updates to the Scheduling Supervisor
  • Maintain telephone contact with clients as necessary
  • Maintain Scheduling database to ensure accurate information on the daily schedule is posted
  • Ability to collaborate with employees involved from both scheduling and additional departments
  • Liaison as necessary among handler, operatives, and headquarters to ensure maximum visibility
  • Work with local field supervisors to develop and implement best practices
  • Sending out reminders, scheduling, or canceling meetings in a timely manner
  • Managing and confirming travel bookings and arrangements

QUALIFICATIONS:

  • High School diploma or GED equivalency
  • Minimum of two (2) years of experience in high volume staffing or scheduling setting
  • Understanding of office management systems and procedures
  • Excellent time management skills and ability to multi-task
  • Able to interact professionally with all levels of employees and clients
  • Strong proficiency in Microsoft Office (Word, PowerPoint, Excel, and Publisher)
  • Excellent oral and written communication skills

PREFERRED QUALIFICATIONS:

  • Military or Law enforcement experience
  • Prior experience utilizing customer relationship management systems

Pay $25 - $27 per hour
