Billing & Audit Coordinator
Allied Universal is currently hiring a Strategic Sourcing Specialist to provide administrative support to Manager, Director and the Vice President Strategic Sourcing. The Specialist is responsible for travel administration, invoice preparation/reconciliation, procurement of goods and services, and general administration across multiple disciplines.
Make an immediate impact on compliance and cost control by validating T&E expenses against policy and helping steer spend to approved vendors and channels
Hands-on, in-office headquarters role where you’ll play a key part in keeping operations organized and on track—ideal for someone who takes pride in accuracy, consistency, and follow-through
RESPONSIBILITIES:
- Travel Administration
- Add, update and remove employees from travel site
- Ensure T&E compliance
- Ensure T&E users are utilizing proper channels to procure goods
- Validate meal and travel expenses fall within company policy
- Preparation/Discrepancy Reconciliation
- Prepare consolidated invoicing from multiple vendors for review and approval of Director and Vice President and subsequent payment by AP department
- Procurement of Goods and Services
- Input order requests
- Review approved order requests and provide purchase orders to vendors
- Update procurement database (shipping addresses, alert IT of new users and of changes to reporting structure)
- Liaison with internal customers; provide assistance investigating order discrepancies
- Maintain weekly/monthly data from vendors
- General administrative support for Supervisor, Director and VP of Strategic Sourcing
- Primary back up to Facilities Coordinator
QUALIFICATIONS:
- High School Diploma
- A minimum of one (1) year of relevant experience in a fast-paced environment
- Demonstrated ability to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines
- Proficient in Microsoft Office applications and able to effectively utilize all available office management technology
- Professional, articulate, and able to use good independent judgment and discretion
- Strong verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player
- Ability to take direction and critical feedback, and adapt to improve skills and effectiveness with a positive attitude
